General Hotel Check-In Question(s)/Concerns Account hold(s) when there's not enough funds yet?

Hey all. I have a few general hotel check in questions, that don't necessarily apply to ACen alone, but ACen is included. This past year (2013) I hosted a hotel booking at the Crowne Plaza and upon check-in I either had to pay the full amount or when there wasn't enough in the account for the account hold my debit card kept getting denied. This was mainly due to not realizing that there was a $50 incidental fee on each night that I wasn't prepared for. That situation was solved by the staff (luckily the manager was there and she awarded me $50 for the entire weekend vs per night).



Now, my question is: which hotels make you do this? We have Anime Central coming up again as we all know and I'll be at the Hyatt. I've never hosted a booking there before, and when I stress to my roomies to "lock in" and pay me now they (at least one) has/have the OMG NOW I WON'T PAY AT ALL kind of attitude. I'm just trying to pay it safe and organized.



Sorry if this's been asked before... I"m just trying to plan and prepare better for this year's out of state cons, especially since ACen is gonna cost me $1100, for lodging alone.

I ALWAYS have people pay me at least a month ahead of time- If they aren't prepared to deal with your conditions- find somebody else (there's always people looking for rooms) and let them find another room. Otherwise be prepared to cover their part of the fees. Having a room mate do that is a huge red flag that something will go wrong in my opinion.

Hyatt has a $50 per night incidental fee as well- this is standard for all hotels. Usually I put that on a credit card - so I dont have to worry about it coming out of my actual convention money. If you dont have a credit card I would recommend splitting it between all the roommates on top of their part of the room costs- explain you will give the money back when everything is cleared.

I know that in April the Hyatt will take out the first night so be prepared for that.

If you are using Debit card I suggest at least have 100 to 200 more in your account for the hotel alone. The hotel will hold on to for example: $500 for 3 nights, I would have $700 in my account. I had that problem before but I make sure I have money before I check-in.

For the security deposit it's $150 for 3 nights....?

It's an example from when I stayed at hotels using my debit card, I got a hold on my debit card at check-in and didn't get charge until check-out.
Like they said below, every hotel is different.

I stayed at the hyatt last year i didnt notice this at all(and i checked my account multiple times last year.) They do however put a hold on the first nights fee until checkout when they take the rest of the fees. Each hotel is different and i will be staying at the embassy this year as far as i know the embassy doesnt charge(hold) anything till you check in.

Whoa. You guys didn't waste time in responding to me here. Thanks! haha. I think the situation has been solved by one of my roomies offering to put the initial 'charges' onto this credit card. That'll help IMMENSELY and I totally appreciate him offering that.

I'd say to keep this thread open so if anyone else has this kind of issue it can be addressed without opening a new thread.

The Embassy will put a hold on the first day's rate a day before check in. So, if you check in on Thursday, I have found an initial charge for one day placed on my card on Wed. Then, when you check in, they placed a hold on what they think you will be charged for the weekend- which will include room, parking(make sure to take care of this when you check in), and taxes. If you use internet access or have any other incidental charges, they will add this on later before the final bill, so that you can express checkout.

If you call the Hyatt and ask for the total amount, you can send in a US postal money order or a Traveler's check in the exact amount of your stay. You just mail it to the hotel with your confirmation number & address the envelope to "Reservations" I've done that with my group for the last 7 years or so. This way, you have a track of who paid their share & so does the hotel. And this way you can avoid having a CC charged to early!

I've always checked into the Hyatt using a debit card and they have always authorized at check in an amount equal to the whole stay(minus first night already paid) plus tax plus an incidental each night.
All systems... GO!

Interesting... my total for the weekend is just under $1100, but my roommates can't give me the full amount right now... I'll totally use this method in the future for future cons. Thanks!

I have a question about the incidental fee if anyone can answer. I have stayed at many hotel in a different state however very few I think maybe only one hotel charged me that fee. Could it be by location that they charge that fee? Also could anyone tell me how long does it take for them to remove that fee?

I have never been charged an incidental fee. However, when they overcharge or undercharge you for anything, or offer a refund for anything, the Embassey usually tries to get it done within 72 hours. At least that has been my experience with them.

Yeah... that happened.. I had to ask the roommate that offered his credit card for this year's fees and whatnot for some money to my PayPal because my account was overdrawn.... $314.14 was the total. Since I cleared that out so I don't get charged fees by my bank (Bank of America) do my roommates and I owe only $800 some odd for the rest of the weekend since the first $314.14 is taken care of? I'm confused on that front.
