Press Rules and Regulations for Anime Central 2018

Publication Descriptions & Requirements


1. Student Media – all media created by and for student consumption, sponsored or published by a middle/high school or college/university/trade school.  This includes all middle/high school and collegiate newspapers or magazines, podcasts, radio shows, vlogs/blogs, etc.

All Student Press Applicants must provide the following credentials to validate themselves as a legitimate member of the press:
-Business card
-Letter of intent from your supervising teacher/editor on school/university letterhead, stating you are covering Anime Central on assignment
-Valid Student I.D. for each press member covering the event
-Two samples of your publication or link to your publication if it is web-based

2. Print Media: Magazine/newspaper – all print media, NON-INTERNET.

All Print Media Press applicants must provide the following credentials to validate themselves as a legitimate member of the press:
-Business card
-Letter of introduction/intent printed on your publication’s letterhead
-Two samples of your publication; must have been published within the last six months. (may be turned in at pick-up)
-We are requesting copies of all raw photos & videos for archival/marketing purposes. In the event materials are used from your publication, you will be appropriately accredited.

**Note: if you are from a major print media outlet, please email us directly at press-departmenthead@acen.org. 

3. Broadcast Media: TV/Radio – all NON-INTERNET-based TV or Radio.  This includes local access TV, cable/network news shows, AM/FM/XM radio, etc.  This does NOT include podcasts or vlogs.

All Broadcast Media Press applicants must provide the following credentials to validate themselves as a legitimate member of the press:
-Business card
-Letter of introduction / intent
-Letter from your Producer/Editor on company letterhead stating that you are covering Anime Central on assignment
-We are requesting copies of all raw photos & videos for archival/marketing purposes. In the event materials are used from your publication, you will be appropriately accredited.

**Note: if you are from a major broadcast outlet, please email us directly at press-departmenthead@acen.org.

4. Web-Based Media: all INTERNET-based websites, blogs/vlogs, podcasts, or fan sites, including YouTube, Tumblr, fanzines, message boards, etc.

Publications must be previously established and updated regularly (at least once per week) with original & current news, and have a minimum of 10,000 unique hits per month via Google Analytics or similar program.

All Web-Based Press applicants must provide the following credentials to validate themselves as a legitimate member of the press:
-Business card
-Letter of introduction / intent
-URL to your publication, blog, podcast, YouTube channel, or website with applicant’s name and title appearing in a by-lined interactive entertainment industry-related article published within the last three months
-Live link to stats page or screenshot dated within 2 days of submission

5. Freelance Press/Photography – any writer, reporter, photographer or videographer who does not work for a specific outlet, but who submits completed work/imagery to outlets to be published.

All Freelance Press applicants must provide the following credentials to validate themselves as a legitimate member of the press:
-Business card
-Letter of introduction / intent, including intended use of your coverage
-2 samples of your previous work; must have been published within the last six months.
-We are requesting copies of all raw photos & videos for archival/marketing purposes. In the event materials are used from your publication, you will be appropriately accredited.

6. Non-Circulative/Non-Broadcast – any photographer or videographer whose work does not appear in a specific outlet.  Examples include cosplay photographers, portfolio builders, personal website, etc.

At this time, we do not distribute comped badges for this media type.  If you are interested in attending Anime Central, you must purchase a general attendee membership badge.  

7. Documentary – any photographer/videographer creating a documentary involving footage from or of Anime Central.


Note: We do not offer comped Press badge for this media type at this time; however, you are still welcome to request a Press badge at General Attendee rates.  You will still be required to have representation at a minimum of (2) Press sessions.

Any outlet covering Anime Central with the purpose of filming a Documentary must bring the following credentials to validate themselves as a legitimate member of the press:
-Business card
-Purchased general attendee membership for each press membership requested



**Picking up Your Press Badge at Anime Central**

You will receive instructions on where to pick up your Press Membership Badge in your confirmation email. Press Membership badge pickup will begin on Thursday afternoon, at the same time member pre-registration opens. Bring your confirmation e-mail and your government-issued ID.  The Press Membership badge must be carried at all times. Without your Press Membership badge, you will not have access to the convention, access early seating where applicable, or the ability to request interviews with Guests.

**Press Sessions**

Anime Central prides itself on making Industry, Musical, and Voice Talent guests available to the Press for Press-only panel sessions. Each outlet is required to have representation at a minimum of two (2) press sessions, though you are invited to attend more than the required number.

The list of 30- or 60-minute sessions will be made available at the Press Membership Registration booth, and each outlet must sign up prior to the session as some have limited capacity.

Any Press Session requiring additional information provided by your outlet prior to the session will be noted as such.

Since guests’ time is limited, registered members of Press are asked to refrain from requesting autographs or personal photos with guests at the close of an interview. Photos of guests to accompany coverage are sometimes allowed, subject to the convenience of guests and to time constraints. All such photos must be prearranged at the time of scheduling the interview.

These sessions are made exclusively for members of the Press. Violation of this arrangement may disqualify your request for covering Anime Central in future years. This will be tracked and enforced.

**Video & Audio Recording**

Any video or audio recordings of Anime Central-sponsored events such as the Masquerade, fashion shows, etc. are not to be uploaded to the Internet, or made available to the public, in their entirety.   (Please note that use of the term “public” includes followers or subscribers of services such as Patreon, etc.)  If you wish to use recordings of such events, only “highlight” or “quote” clips may be used. Any use otherwise is in violation of the Rights held by Anime Central, and will result in disciplinary action of the outlet in question.

Please keep in mind that any video recording containing audio of third-party content (such as a song, audio track, movie/show clip, etc.) must have audio removed prior to posting, as its usage is governed by copyright rules of the artist, production company, or label.

**Musical Guests**

Rights to record Musical Entertainment events held at Anime Central are governed by the Label that is representing the entertainer(s) and Anime Central honors their requirements. Any additional requirements for an event will be made available at the time of Press Membership Pass pick-up, or as information becomes available. These conditions are subject to change without notice. Violations of any arrangements in regards to our Musical Entertainment Guests are responded to with disciplinary action up to legal action depending on the infringement.

**Industry Guests**

Rights to record Industry Guest panels or exclusive Previews are governed by the Agent and/or Production Company representing the Guest(s)/Preview and Anime Central honors their requirements. Any additional requirements for an event will be made available at the time of Press Badge pick-up, or as information becomes available. These conditions are subject to change without notice. Violations of these conditions by any outlet will be responded to with disciplinary action up to legal action depending on the infringement.

**Reserved Seating Policy**

Certain Anime Central events are highly attended and as a result, space is limited. Reserved Press seating, if available at an event, is provided as a courtesy, and Press members are required to follow the guidelines set by Anime Central Programming Staff per each event. These guidelines may include pre-registration of Press for an event, additional coverage requirements, etc. In the case of additional requirements for Press attendance at an event, Press members will be notified as information is available.

Reserved Press seating is not guaranteed for all events.

If room space is available for a given event, it will be granted on a first-come, first-served basis, and may include a specific Press area for tripods and cameras. Press access to the event room is typically made available prior to attendee access, for this purpose. If you have questions about seating or space for a given event, please ask the Press Department Head or Assistant Department Head.

In any event that does not have dedicated Press seating or space, space is given solely at the discretion of the Anime Central-Staffed Room Supervisor.

The Masquerade will have limited seating which will be provided on a first-come, first-served basis. For outlets with a Press membership, access to Main Programming may be made available prior to the start of attendee load-in for the event.

Press membership does NOT qualify one for preferential treatment at autograph/sketch sessions.

 **Quality Control Check-ups**

Staff will be performing post-convention follow-ups via email with all attending press to review all final products. All final products that are published must be submitted to the Press Department Head upon release (no later than July 1st following the con) for archiving, marketing, and quality control assessments. Each publication will be assessed to see what services were provided and determine whether or not appropriate coverage was performed to equal the cost of a convention membership badge for Anime Central. Number of membership badges per publication will be a factor in the assessment.

Those who are determined as insufficient will have to meet additional requirements in following years to receive a Press badge. These requirements may include, but are not limited to, publication suspension in future, requirement of purchase of membership badges, etc.

**Your Rights & Information**

Anime Central reserves the right to list your company/publication’s name on digital and print material. In some cases, Industry and certain guests/talent may require release of information such as email address, name, and publication name prior to any press session. While Anime Central does not sell or make public individuals’ private information, publication information may be provided upon request.

**Abuse of Press Privileges**

As a member of Anime Central Press, you are expected to conduct yourself in a professional, courteous manner while attending the convention as Press. Press membership does not qualify a member of the press for preferential treatment at any event over the course of the convention.

Anime Central takes the behavior of its Press very seriously, and will review carefully any reports of abuse of Press privileges. If after review an abuse of privileges is found, such behavior may be grounds for disciplinary action, up to and including revocation of badges or expulsion from the convention. Violation of any conditions of coverage (such as events, Musical Entertainment, etc.) or any of these arrangements may disqualify requests for covering or attending Anime Central in future years.

If a publication feels that their membership is revoked unjustly or that they were unfairly disciplined, they may discuss it with the Press Department Head. The revocation of a membership is a last resort, and the Press Department will do all they can to be certain that members of the press understand why such actions are necessary and how to avoid them. Please do not hesitate to ask if there is some part of these policies you do not understand.

Press Members may discuss any questions/disputes regarding these policies with the Press Department Head and/or Assistant Department Head.

Please note: Anime Central reserves the right to modify our rules & regulations at any time without prior notice, and may deny you a press membership for any reason. Submitting the Press Membership Registration Form does not guarantee you a press membership for Anime Central.
