Final Panels Approved, Denied, and DRAFT schedule

Alright, everyone has been Approved, Denied, or Withdrawn if they canceled their panel. If you don't see an email telling you your status you can see it by logging into the registration system, go to your profile page, and your panel status will be listed there. You can also check the list.

Also this is the DRAFT schedule, we are accepting requests to move, cancellations, etc. If you see any issues, conflicts, spelling mistakes, etc it is VERY important that you contact us ASAP and we'll get it fixed. This is the point where I start updating the schedule 20+ times a day. This means your panel may move slightly if I need to move another that is near it.

Everyone was scheduled within their requested time and room size except about 5 panels which are outside of their requested time by about half an hour. If you need to move we need a legitimate reason to move you, as you can see our schedule is extremely full this year. If you need to move and see a white space empty you can request that time, but again, only if you have a good reason to move.

And what you have all been waiting so patiently for... *drum roll* Here is the DRAFT schedule. Hit CTRL - F and type in your panel name to find your panel. A handful of names were altered slightly to fit in the schedule template so you may need to try key words in the name.

Thank you very much for your hard-work! One suggestion though since you plan to update this often anyways. The right side should probably have the time lists along with the left. Being that the list is so big it can be hard to see the exact time your panel starts if it is all the way on the right side of the screen.

I believe things like the Masquerade, Anime Hell, the Soap Bubble and such would fall under "Main Programming" and not "Panel programming", thus it would not be listed on this preliminary schedule (thus the Rosemont Ballroom A,B,C,D is listed as empty and I don't see a tab for the GRAND Ballroom)

Just curious: for those who need to change times as well as those willing to change times, is it possible for us to mention which panels are willing to change times as well as our restrictions? Or if two people who would like to switch times agree to said time-switching?

Or is it assumed that all panels are willing to change times?

I believe you are requesting that two lists be created.

The first list being the list of panels (presenters) who are Open to having their own panel be moved (time/location) while noting any specific times/days which are not acceptable. IE: "Fake Forum Panel " currently on Saturday at 11am-12pm in FakeRoom can be moved to any day/time EXCEPT Friday 7pm-11:30PM.

The second list would be panels (presenters) who currently are schedule for a time which is NOT acceptable and are requesting to have their own panel moved (time/location). IE: "Almost Real Forum Panel" is currently scheduled for Sunday 1pm-2pm and is requesting to be changed as the presenter leaves at 10am Sunday. Any time Friday AFTER 1pm, and any time Saturday would be acceptable.

If these two panels (presenters) could contact each other to see if they could swap timeslot/locations and both parties agreed to doing so, would this be possible and who needs to be notified (and have both Lists updated along with the google docs schedule)?

What is the deadline to email you saying "hey, can I move my panel to blah blah time?" Since specifically for me, I am also running the Ghost in the Shell photoshoot, so I'm still waiting for that schedule to come out--since there is a chance it could be on Friday. I just want to get all scheduling sorted out. Also, if we do like the time our panels are (and I do, thank you so much), should we email you saying to keep it then (if possible) or just don't reply at all? If that makes sense. ^^;;;

If I wasn't working in Reg. then I would attend every single panel off my personal list! So much to choose from and I can't wait to see which I would end up go to. This list was so worth the wait. :thumbup:

So glad my panel was approved! This will be the first ever panel I've run (not for lack of trying, either; the con I usually go to is extremely small and panels are on a very limited basis since there are only 6 panel rooms, soon to become 3) and I'm a bit nervous, but I'm confident I'll do well. Thanks!
Why did I choose a Red Ribbon soldier for my cosplay? Because I'm a little short for a Stormtrooper.

If two different HEAD panelists agree to swap then we can do the swap (try to be within a 15 minute time difference with them). When panelists filled out the application they requested time blocks like Saturday noon to 5pm. If they didn't specify more further in the application then we assume they are ok with any time within that time block so pretty much everyone is "willing" to move, according to their application. This now becomes a complicated game of moving people who need to move, and finding a panel who is able to move to switch with them. It often involved moving 5 or 6 panels just to move the single panel.

We have about 20 event rooms this year and have about 250 attendee panels atm. We will go well over 300 events this year, since last year we had around 200 attendee panels. In 2012 including main events, guests, attendee panels, everything considered Live Programming, we had 320 events :D We try to make sure there is something for everyone to enjoy.

And yes, we denied all unrelated panels :) ACen is an Anime, Manga, and Japanese Culture convention, our only exception is a -handful- of video game and web comic panels.

ALSO If you see any conflicts feel free to post about it, we've already been notified of a Lolita panel during the Lolita fashion show :) anything like that can be posted about. We try to spread things out, but sometimes 2 topics will be running at once.

Thanks for the emails so far everyone, please keep in mind we are getting quite a few upfront of some issues so it may take some time to work through and shift everything.

Also please keep in mind what you put on your application for availability. As we scheduled against that, please do everything in your power to work within that time frame you originally requested. As Chelsea said, one change can involve 4-6 Panels being moved. We always try to accommodate as best as we can, but sometimes its just not possible due to the amount of shifting and other problems it may cause. We understand if you can't make it to the convention physically have classes etc.

I am a little worried because I have two people in my group that decided to wait until our panels were approved before confirming that they could make it...the worry comes because I don't think we will get all their reg info over to you guys until very close to the first of April. Is there anything I can do on this end to make sure they still get their panelist badges? (I know this isn't necessarily a scheduling thing, but the two late-updaters can only work with me on one of the days I am scheduled, while my husband will assist me for the rest).

I sent in an email a few months ago about adding a panelist, but got a reply within the last week to confirm her account information (since she originally gave me the wrong screen name.) She would be a great help as a panelist & has already contributed to both panels we're adding her on, but I'm worried that it might be considered too late to add her on since I was just recently able to get the correct screen name/email sent in.

Also, is alright to go ahead & buy panelist badges? (Even if all panelists aren't accepted yet?)

Please do not purchase a panelist badge without the discount being applied to the account. If a badge is purchased we cannot refund it. If you emailed us and didn't get a reply then the email was most likely lost in our spam folder, which is why we encourage people to contact us through the Contact Us form which never goes to spam for us (especially if you use hotmail or yahoo). It is not too late to add panelists, we will send out a week warning of when that will be cut off.

Just a bit of information on how panel changes are working. Instead of moving one panel at a time, we are gathering a small list of those who request changes to see if they can swap with each other. This prevents us from moving panels that don't want to move :) So if you're waiting a day or two for a change to appear, it's because we're letting the list grow a little. It looks like the requests have slowed down a bit so we should be updating the schedule tonight or tomorrow with some changes. I should be able to post a list of who's moved as well.

Thanks for the update. I sent a request in yesterday - I hope it wasn't too late! I just saw that the schdule was posted yesterday - I didn't think to check last week.

My badge has been discounted fully, however we are still trying to add a person to two panels since she's been helping/will help. I've sent two emails - one replying to the person who replied directly to me, & another to the main account for emailing for panelist queries. (I'm not saying this to be angry or critical. I'm just saying that I already went through the suggested steps.)

I was just curious if it was okay for me, since my badge has been discounted, to "buy" the badge, or if that'd screw things up with adding another panelist.

Hello, I responded to your E-mail yesterday. We do most of these in big batches due to how the system works. Sorry it took about 2 weeks for us to get it all processed.

With that being said, everyone who submitted a Badge change request should now be processed. Quite a few are Panelist we are still waiting on responses for the correct information. We are building the schedule changes list and hopefully will have a new Draft schedule soon.
