I swore I read somewhere in the new changes that panel applications will begin on October 1st? Did I misread that somewhere? If not, where's the link for the panel applications?

It isn't posted yet, please remember we all have regular day jobs and the person who posts it on our site is currently at work. I'll be making a pinned topic once it's posted on the site and send our an email to the panelist mailing list with instructions. You will need an account in the registration system to apply, but DO NOT PAY! You will not be refunded to apply your panelist discount. Please be aware of the new badge policy! Hosting 1 panel will get the 3 panelists each 50% of the CURRENT tier price for a full weekend badge. Hosting 2 panels will get you a full complimentary 3 day badge. Each panelist is tracked separately, you are not tracked as a group. 1 panel hosted = 50% off current badge price, 2 panels hosted = 100% discount for a full complimentary 3 day badge. You can host the same panel twice depending upon popularity and it will count as 2 separate panels. Any questions feel free to ask!

Yes there should have been an email confirmation - we will look into why that was not delivered and manually send them out this evening once it is fixed! Thank you for asking.


EDIT UPDATE: FIXED! New submissions should now see a confirmation on the screen and by email. I do see the submissions from earlier and will get a manual confirmation out later for those that have already applied.

Note: You MUST be logged in to fill out the form!
First you will need to check the agreement box confirming you have read and agree to abide by the Panelist Policy. After checking the box the form will appear.

Fill out the panel info including name, length (remembering to add 15 minutes for setup/cleanup), description etc.

As you fill out the form it will add extra required boxes based on your responses! If you are having trouble submitting the form, make sure that all the required fields have been filled in.

When entering co-panelists you will need their ACen.org username. This is the unique username they created when making their account on the website.

If they do not yet have an account, you may skip this for now but will need to have them create an account and update your submission with the usernames so badges can be properly assigned with any applicable discount.

Please contact the Panel Programming DH by email ASAP with the co-panelist(s) usernames if you do not have this when submitting the form. Panels@ACen.org

The second page will allow you to upload the outline of your panel. This is REQUIRED – make sure you are uploading a file in one of the following formats: .DOC, .DOCX, .TXT, .ODT, .PDF

We would see errors in our systems log. It shows nearly every step that's taken. The programmers saw what was wrong and it was only that it wasn't sending confirmations. We will announce if ever applications need to be resubmitted.

Nobody seems to have brought up this issue recently, but myself and a friend both submitted panels in the past two days and we both got these messages on the screen: The error in question is two message boxes after clicking "submit". One says: "Unable to send e-mail. Please contact the site administrator if the problem persists."

Then, another box directly below it says: "Thank you! We have received your submission and will contact you once we review your panel."

We haven't received any sort of confirmation e-mail, either. I'm concerned just because both of these panels are "big draw" panels. Our "90s RPGs - Don't Count Final Fantasy" panel drew 200+ people; the last time I did my "Violence, Sex, and Death: The Films of Takashi Miike" panel we had over 100 people and had to turn away 100+ more due to the room being packed. To put it simply, these are panels that have had big draws and we don't want to disappoint anyone!

Any assistance would be greatly appreciated! ^__^

There are still some bugs with sending email confirmations that we are working on with our system admins, it looks like your applications were received in the system without any issues, just the email did not go out. We are working on it and apologize for the confusion.

My group/I've had similar problems on the main site as well. None of my other co-panelists (*I can PM names & info to whoever necessary*) have been able to login/register thus far besides myself, all of them getting that same first message, only they can't get in to login, nor does their email acct. have any notice of con email (spamboxes checked as well); one also mentioned a notice that their email was already in use. I posted to the tech help subforum earlier about the errors but had no reply, nor a callback when I called Panel Prog's number last week with a panel question & what to do should the reg/login problem persist.(As of 2/3 days ago, I get a "number dialed doesn't exist" generic computerized voice error when dialing. Thought it might be a similar fluke to the website but now I'm wondering if I really SHOULD have posted a new thread asking... :/).

Is there something we should be doing differently here? They & I've tried both Mac & PC, Firefox & Safari, locations across Chicago (& outta state for one panelist) & all the problems persist across both OS & platforms, so it can't just be something localized to my or their computers. With only 2 days left now before the deadline, we're getting really nervous here what with literally nothing we've tried working nor coming to any fruition. Should we just post our basic outline to a new thread in the time being? In the app's 'anything else' field just list the co-panelist's names, since I can't add them while they don't exist?

I have sent the comments up to our System Admins with the feedback and also let them know about the issues, hopefully we will have a resolution soon.

chainedbyroses - You don't need to worry The application form does not close on the deadline. It moves into a "wait list" sort of application, though we will still be accepting panels until we are full (we're not full yet but close!). Anyone who applies and is accepted before the deadline will be included in our December posting of the schedule. Anyone after will be done when we get to them.

If it's not letting you add names you can email the names you need to add to PanelProgramming@ACen.org. But you should still be able to log into the new accounts even without a confirmation email.

Please try our phone number again 630-442-0008 , I don't see a message regarding what you described, or you can email us if it is still needed. The number has been working for other people, I'm not sure why you would get that message.
