I wanted to have some signs, posters and banners for my gaia get together because people seem to have trouble finding the meet up location or they are not sure if they are in the right area. I wanted to know what guidelines you might suggest if it turns out im not allowed to use any of these?

are you looking to post signs around the convention or just to have something to hold up at the gathering so people can find you?

while signs in general have been banned due to rampent abuse in the past I think we might be able work something out for things like this, I will talk it over with some people this weekend and see if we can figure something out. sound good?

Well i'm not sure which would be more umm acceptable but i was hoping it would be okay if i had some people hold up signs at the location, or would it be okay if i have a poster made that can be placed near the location? let me know if you find out anything on this subject >.<. i think having a few people hold up signs is okay though.

sorry to have taken so long to get back to you things have been a bit hectic lately.

SIGN RULES FOR COSPLAY GROUPS

1. Signs may be no bigger then 36"x24"
2. Signs must be carried by a member of the group and may not be affixed to hotel property in any way
3. Signs may only be carried shortly before and during the meeting time .
4. All signs must be family friendly and may not solicit anything aside from attendance
5. All signs must include the scheduled time of the meet up
6. All signs must be approved by an IRT DH or shift commander

let me know if these sound workable for you guys
and please forgive me if I sound overly pedantic or authoritarian, that's why they do not usually allow me to write rules copy :)

This sounds good to me, as I know last year, there where a few gatherings I felt could have benefited from them, particularly if a certain series decides to have a few unofficial gatherings, outside the main officials. You can use it to help with saying, hey, "X shoot here at X time". Word of mouth between cosplayers only hits so far....>>
The only one I did a brief sign piece for at last ACEN was the Midnight Persona Shoot, and it ended up being a small sign that simply said "Persona Midnight/Dark Hour Shoot, @ East Outdoor Wall, MIDNIGHT tonight", I only showed it when I saw other Persona folks or if someone asked what I was carrying around, since I had it folded up and tucked under my arm slightly.
I shall probably do something again similar this year for Persona's Midnight shoot...Just got to remember to bring it with my other props when I go and get them tagged on Thursday evening...:)

I know at another con I attend, I did something of this effect to both help with promoting the main Persona Shoot, but the less promoted Midnight shoot as well as a small side shoot. It did help with all of the shoots in getting a decent attendance.

well the reason i wanted to do the sign thing was because of the problem i had last year where people are going... "is this the right location?" "are we upstairs or downstairs?" you know little things like that . that end up effecting the meetup overall.
